Program Eligibility Indicator

eGrants leverages the campus Single Sign-On authentication (login) service to obtain identity information about the current user. This identity information enables the system to determine and the user's grant funding program eligibility and display an indicator at the top of the eGrants home page:

Eligibility Indicator

The indicator is intended to assist prospective applicants by immediately assuring eligible applicants of their status while saving ineligible applicants the trouble of creating an application that cannot be funded. The eligibility information is used for information purposes only and has no effect on users' ability to create and submit an application.

The indicator is generated by applying eligibility criteria to your current PPS appointment records. There may be instances where your grant committee will consider your application even though the system indicates that you are not eligible to receive funding (ex. recall appointments). Please contact the Academic Senate Office if you require clarification on your eligibility.

Proxy Application Preparers

eGrants will allow any UC San Diego staff member (assistants, fund managers, etc.) to create and submit a grant application on behalf of an eligible applicant. When an application is created and submitted by somebody other than the applicant, eGrants will send an automated email notification to the applicant requesting his/her approval prior to routing the application further along in the pipeline. At this point the applicant can approve the application as is, return the application to the preparer for editing, or edit and approve the application themselves. Collaborative Research Projects

Although most research grant applications reference individual projects, eGrants also supports scenarios involving co-investigators seeking financial support for a common collaborative project during the same fiscal year. In these cases, the collaborative project feature eliminates the need for subsequent applicants to enter redundant project information once the collaborative project has been created by the initial applicant (investigator-specific project questions must still be answered by each applicant). Furthermore, this feature enriches the Senate's electronic record by preserving the relationship between a single project and multiple applicants.

For example, suppose Bob and Jane are collaborating on a common research project:

  1. Bob prepares his grant application first; he indicates that his project is a new collaborative project, enters the project title, and provides all of the relevant compliance details.
  2. When Jane subsequently creates her application, she is able to reference the project that Bob created without re-rentering the title and compliance details.
  3. Jane submits her application, and Bob receives an email notice asking him to confirm that Jane is a co-investigator on the project he created (see Approval Workflow).

Note that program eligibility criteria and limits pertain to applicants, not projects; whether an applicant is seeking support for a collaborative project has no bearing on the likelihood of approval or amount of funding.
